Workforce Planning | 22nd October 2003

The high level workforce planning of the Prison Service is carried out by HR Planning within Personnel Management Group. The information comes from each establishment and HQ group by them completing returns each quarter that detail the number of planned posts for every grade of staff over the next three years. The forms provide the Service with a large amount of information that is used for routine and ad hoc planning processes.

The forms are distributed electronically by e-mail around three weeks before the end of the quarter and are tailored to each particular establishment. A blank version can also be used and can be found here for establishments and here for Headquarters Groups.

The form sent out from HR Planning contains;

  1. The numbers of Forecast Planned Posts previously supplied by your establishment for amendment. The ongoing nature of the forms means that a further set of projections are required each quarter.
  2. The current staff in post figures as recorded on your local Personnel system Database. Amendments to these figures must be made on the local Personnel database, these changes cannot be made by HR Planning.
  3. Space to record other staffing issues that impact on staffing requirements such as new accommodation, which are not otherwise included in the main body of the figures.

Once the necessary additions are made to the form it should be e-mailed back to HR Planning at a date specified on the form for entry onto a central database.
